Personal Data We Collect

Data we may collect during and related to the process of recruitment and hiring includes your name, address and contact details, including email address and telephone number; details of your qualifications, skills, experience and employment history; information about your current level of remuneration, including benefit entitlements; information about your skills and qualifications and career aims; information about your suitability for current and/or future jobs or other contracts or arrangements with CS Genetics; interview notes; references and similar relevant information supplied by third parties; whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process; information about your entitlement to work in the UK; equal opportunities monitoring information, including information about your ethnic origin, sexual orientation, health and religion or belief; data you may provide with/during your application for current and/or future job openings and/or other contracts or arrangements with CS Genetics including: name, surname, title, personal photo, position, hyperlinks to social networks, address, e-mail address, videoconferencing id, phone number, educational background, work experience, CV; as well as IP address, cookies, and/or other web browser information.

How We Collect Information

We may collect this information in a variety of ways, for example, by email, by internet, by post or in person; through job boards where our vacancies are advertised; through recruitment agencies; and/or via current and/or past CS Genetics employees, consultants, advisors, and associates. We may also use public sources to gather additional information, such as LinkedIn profiles or other websites. Data might be contained in application forms, CVs and/or resumes, in emails and/or attached files, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment. We may also collect personal data about you from third parties, such as references supplied by former employers and information from criminal records checks.

Why We Gather/Process Personal Data

We gather, process, and use data to evaluate suitability and qualifications of candidates for current and/or future jobs and/or other contracts or arrangements with CS Genetics (such as consultancy arrangements). We keep data, information, and records of the process to allow us to manage the recruitment process, assess and confirm a candidate's suitability for employment and decide to whom to offer a job. We may need to process data to ensure that we are complying with our legal obligations; for example, it is required to check a successful applicant's eligibility to work in the UK before employment starts. We may also need to process data from job applicants to respond to and defend against legal claims.

How and Where We Store and Secure Your Information

Data will be stored in a range of different places, including on your application record, in HR management systems and on other IT systems (including email and physical hard drives/storage devices). We store printed copies of CVs, cover letters, other application materials, recruitment process notes and references in a secured area which can only be accessed by authorised persons.

How and With Whom We Share your Information

Your information may be shared internally and/or with select, relevant external parties for the purposes of recruitment, hiring, and evaluating suitability for roles at CS Genetics; this includes the CS Genetics management team and/or other employees, as well as consultants, advisors, associates, and/or interviewers involved in the recruitment and/or hiring process, as well as HR providers and IT staff/providers if access to the data is necessary for the performance of their roles.

How Long We Keep Your Data For

Information and relevant data gathered during the recruitment/hiring process relating to a candidate that becomes an employee, intern, and/or consultant of CS Genetics will be stored throughout the duration of their employment or other contractual arrangement with us. Information and relevant data relating to unsuccessful candidates, such as CVs, may be held for up to 12 months for the purposes of considering these candidates for future roles. If you agree to allow CS Genetics to keep your personal data on file, we will hold your data on file for a further two years for consideration for future employment opportunities. At the end of such a period or once you withdraw your consent, your data is deleted or destroyed; printed CVs will be shredded and disposed of responsibly while all electronically stored copies will also be removed/destroyed.
